Step 5, Enhancing Organization-Wide Records Management, shows that the organization has organizational records management in place, up and running. New systems are in place and Information Technology can now demonstrate how they will manage the records produced by these systems. The organization has now recognized the many benefits of their investment, as instantaneous storage and retrieval of records has made the day-to-day operations more efficient and effective.

1. Do you have procedures in place to protect the integrity and legal admissibility of records produced by all recordkeeping systems (magnetic and imaging)?

 

2. Are these procedural controls written down?

 
3. Are the systems that manage both your paper and electronic records integrated so that they work together?

 
4. Can the agency demonstrate the reliability of its recordkeeping systems through the existence of policy, procedure, and routine records audits?

 
5. Are e-mail records under records management control, which will reduce vulnerability in case of litigation?

 
6. Have public information access goals been met because public records are available electronically?

 
7. Are vital records now identified and linked to continuity of operations plans?
