Organizational Records Management
WHERE IS YOUR AGENCY?

Step 1: CREATING RECORDS MANAGEMENT AWARENESS

The beginning point  which characterizes records management as having no order to it. There are no best practices at this beginning step; however, be sure to take a look at the practices that do characterize this step.

STEP 2: BUILDING THE RECORDS MANAGEMENT FOUNDATION

Making the "conventional" (paper-based) records management program efficient and effective, with active support from management. This step is also necessary for the introduction of electronic records management (ERM) in the later steps, because any ERM system introduced will require as input the products of Step 2.

STEP 3: PLANNING / PILOTING ORGANIZATION-WIDE RECORDS MANAGEMENT

Reaching the point of planning for and conducting pilot tests for electronic records management (ERM), while continuing with paper records. Even though it is the intent to use ERM throughout the program areas, some practical experience must be gained and solid plans laid for introducing ERM.

STEP 4: IMPLEMENTING ORGANIZATION-WIDE RECORDS MANAGEMENT

The point at which Organizational Records Management (ORM) is prevalent throughout all program areas and has gained the much needed attention of top management.

STEP 5: ENHANCING ORGANIZATION-WIDE RECORDS MANAGEMENT

The organization has Organizational Records Management (ORM) in place, up and running. New systems are in place and Information Technology can now demonstrate how they will manage the records produced by these systems. The organization has now recognized the many benefits of their investment, as instantaneous storage and retrieval of records has made the day-to-day operations more efficient and effective.
